The Gates / Community Update: New Access System Installation & Camera Project
7/26/25 UPDATE:
The Estates pedestrian gates are back online. You will need to keep your cell phone on you with the ButterflyMX app logged in if you want to enter into either section of the neighborhood.
7/20/25 UPDATE:
The installers are currently working through some challenges and continuing to troubleshoot the system. In the meantime, the gate will remain open to help maintain smooth traffic flow.
Pedestrian Gates at the Estates: The internet device and the gate controller were damaged during the last lightning strike. We are waiting for a shipped part to arrive to replace the damaged equipment.
Lanes: This will be discussed at a board meeting.
Barrier Arms: The entrance is not set up for the use of a barrier arm(s). We have consulted with experts and it is not recommended that we install this. The entrance is too narrow for two separate sections for Residents and for Guests, and the traffic flow is too great at times which would make it chaotic with only one gate for Residents and Guests. The gates are set to close at a standard rate after a car passes. For safety reasons, there are inductive loop detectors and sensors that detect if a vehicle or other object is present. As a result, even if the gate was timed to close in three seconds, it would stay open as long as vehicles continue to be detected by the sensors. We now have cameras and license plate readers to capture who enters and exits the neighborhood.

We will get back to you as soon as we can, but it may not be the same day. Also remember that our role is to look out for the best interest of the community as a whole. We do our best to consider many different perspectives before choosing a direction.
7/10/25 UPDATE:
Our gate company is still calibrating the windshield tag reader to ensure consistent performance. The gates will remain open until the calibration is complete and we are more confident that we will not have tag reading issues causing backups at the gate. Once fully operational, we will begin by closing the gates at night and keeping them open during the day giving everyone a chance to get used to the new system during lighter traffic. After this trial period, the gates will be closed 24/7.
Important Information for Residents
Using the Gate System:
When the gates are operational, stay to the right and approach slowly for the tag reader to properly read your windshield tag and open the gate.
In the meantime, familiarize yourself with the gate app. If your tag fails to read or you don’t have a windshield tag, use the app by swiping the “MAIN GATE” slider to open the gate.
The app supports voice commands via Siri and Alexa for hands-free gate operation.
If You Don’t Have a Tag or App:
Stay to the left and use the callbox/ButterflyMX kiosk. Enter your PIN, scan a QR code, or dial the homeowner to gain access.
Clubhouse and Pedestrian Gates:
The app is now required for access to Clubhouse amenities and pedestrian gates. White key cards are no longer valid.
Delivery Instructions
One-Time Deliveries:
Create a one-time delivery pass in the app, which provides a QR code or PIN. Include the PIN in your delivery instructions for the delivery person to use.
Recurring Deliveries (e.g., Amazon, Walmart, Kroger, Uber Eats):
Set up a recurring visitor pass named “Deliveries” (or a name of your choice). Send the pass to your own cell phone number to receive a text that contains a link with a QR code and PIN.
Add the PIN to your delivery instructions for services you use regularly.
Recurring passes are valid for one year. Set a calendar reminder to renew the pass annually.

7/9/25 UPDATE:
The installer was here today and we hoped to close the gates, but the windshield tag reader may need more adjusting or even replacing. We will keep you posted.
The main pedestrian gates are now closed. You will need the app to open them.
The clubhouse will be worked on tomorrow. You will need to be logged into the app to open the Clubhouse doors. This means that your whole household may want to download the app.
7/2/25 UPDATE:
Project Status & Timeline
All residents who completed the windshield tag request form have had their tags created and have been provided multiple opportunities for pickup. While we will continue to fulfill tag requests for those who complete the form, we are now proceeding with the final phase of the gate project.
The installer will return on Wednesday, July 9, 2025, and we anticipate the gates will be fully operational if the majority of work can be completed that day. We also hope to complete the clubhouse access system installation on the same date.
CRITICAL: App Download Required
Once the gates are operational, the ButterflyMX app will be MANDATORY for accessing all community amenities. There are no exceptions to this requirement.
Temporary Access Code
To assist with the transition period, we have established a temporary community access code: 34787
IMPORTANT: This temporary code will expire exactly one week after the gates become fully operational. This code is provided solely as a backup during the initial transition period for those experiencing technical difficulties.
Your Responsibility
It is each homeowner's responsibility to download and register for the ButterflyMX app. We have provided extensive advance notice and multiple reminders about this requirement. The app can be downloaded regardless of your current location or schedule, including while traveling.
If you find yourself unable to access the community after the gates are operational, please understand that this is due to not completing the required app registration process.
Owners and tenants are fully responsible for the guests that you provide access to in the neighborhood and at the clubhouse. If any incident should occur, you will be held responsible for any damage caused. We now will have more capabilities to trace back to the homeowner responsible.
Landlords must be in compliance with the governing documents which states that the minimum lease term is 1 year and the lease agreement must be provided to management. Please see the FAQ “What are the rules regarding renting out my house?”
Additional Windshield Tags
We are finalizing pricing for additional windshield tags, which will be available through our management company for a fee. Payment will be required by check or money order made out to “Lakeview Preserve HOA”. Additional payment options may be available in the future—this is to be determined if possible. The details will be provided shortly.

6/27/25 UPDATE:
Saturday, 6/28/25, from 10am-12pm is the next date scheduled for windshield tag pick-up. If you haven't received your windshield tag(s), please aim to come this day. No need to wait for an email if you're available. For those that really cannot attend Saturday's pickup, we will offer an alternative once we see how many are remaining.
This is not a simple process to coordinate and we greatly appreciate the many responses from owners who completed the form. Filling out the form is what allowed us to manage the volume of people that would otherwise have all showed up at the same time.
There is no need to wait for an email IF you are able to pick up on Saturday. If you cannot pickup on Saturday, at some point (likely next week) you will be contacted when your tags are ready. The day/time will be determined based on the volume that remains. Please be patient. We will give you an opportunity to pick up before we close the gates. THE MOST IMPORTANT THING IS TO DOWNLOAD THE APP AND REGISTER. The windshield tags are less important.

Additional Information:
If you take the free 2 tags and buy a new car, or change the windshield, you will need to buy a tag for the new car/windshield. If you know you're going to buy a new car in the very near future, you can always wait to take the tag. You have until October 1st to receive the 2 free ones.
After we get through this mass distribution, you will be able to purchase additional tags. The cost will be determined once we see how much Management charges for being the ones to take payment and program tags. The Board will hand it off to Management to handle in the near future.
If you have multiple family members in the household that want access to the app, they simply need to download the ButterflyMX app and login with the same email and password. It will simultaneously ring on the devices logged in (unless you choose “Do Not Disturb” under “Account”—”Calls”). You should leave your app logged in. If you want separate directory listings, that is okay too, but it only makes sense for families that do not share the same last name. The directory calls will come in via app, not your phone number, which is why multiple people can be logged in with the same email and password.
This is not the final version of what the app will look like once it goes live. You will have additional options for the Clubhouse doors once installation is complete.

Windshield Tag Distribution Update: The tag programming process is taking longer than anticipated. If you arrive during your scheduled time and find it crowded, please consider returning later or picking up your tags on an alternate date. We'll offer multiple pickup opportunities next week and possibly the following week.
MOST IMPORTANT: Download the ButterflyMX app NOW. This app is your primary access method - you don't need a windshield tag to enter. The app also controls clubhouse amenities and pedestrian gates. For those concerned about using the app while driving, hands-free functionality with voice commands is available on both iPhone and Android devices.
Current Status:
63% of residents have set up the app (as of June 24th)
Gates will close only when the vast majority are registered
Multiple family members can share the same login credentials
A temporary PIN will be available for those not yet set up

6/20/25 UPDATE: We are pleased to announce the distribution schedule for windshield tags as part of our new ButterflyMX Gate and Amenity Access system. Complete information about this system is available on our website's ButterflyMX page. If you have not already done so, please download the ButterflyMX app from the Apple App Store or Google Play and create your login profile. You should have received an invite if we have an email address on file. If you did not receive the invite, contact us with your name, address and email information using the contact form on the website link. The app must have a unique email address associated with it or you will not be able to use the app. You will need this app to access the amenities or to open the pedestrian gates.
Distribution Details for Property Owners:
Each household is entitled to two complimentary windshield tags, which must be collected by October 2025. Tags will be scanned into your profile during pickup, and your license plate information will be recorded at that time. You can purchase additional tags after this initial distribution. The price has not yet been determined but it will be similar to the old gate remotes. If you change cars in the future, you will need to purchase a new tag as they cannot be moved from car to car.
Important Requirements:
Both vehicles must be present for tag installation, as tags will be installed on-site and cannot be taken home
License plate numbers must be provided to volunteers during scanning
Volunteers will scan the tag into your ButterflyMX profile and will be available to assist with installation. These tags are essentially barcoded stickers that will be adhered to your car’s windshield.
Valid photo identification matching the owner name on file is required
If someone other than the owner is collecting tags, they must present both a copy of the owner's photo ID and their own identification (this is not the method for renters--see below).

Tuesday, June 24th, 6:00-8:00 PM: Buoy Cir and Gliding Wave St addresses
Wednesday, June 25th, 6:00-8:00 PM: Sailing Pier Ave, Current Ave, and Weatherbell Rd addresses
Thursday, June 26th, 6:00-8:00 PM: Hanging Tide St, Windbeam Ct, Mainsail Ct, and Fair Winds Ct addresses
Saturday, June 28th, 10:00 AM-12:00 PM: Make-up session for those unable to attend earlier appointments or bring both vehicles
Tags will be distributed on a first-come, first-served basis within each time slot. We apologize ahead of time if there is a wait if many people show up at once. If you cannot attend your scheduled time slot, additional distribution dates will be arranged based on demand. Please contact us through our website to schedule alternative pickup times.
Important Notes:
Tags are non-transferable between households to maintain accurate distribution records
Mailing of tags is not available
The Board is temporarily managing this distribution process, but it will be managed by the property management company in the future
Even without windshield tags, gate access will remain available through the ButterflyMX app
A temporary community access code will be provided during the transition period
Information for Renters:
Renters must have their landlord contact the HOA directly with the following information: preferred directory name, phone number, email address, and lease termination date. Directory listings will expire automatically unless landlords provide lease renewal information with updated termination dates. Renters must have the owners contact us to register you in the ButterflyMX system. You may then come to collect the tag under your own name if the owner wishes to provide the 2 free tags to you. The owner will need to tell us this.
We appreciate your patience as our volunteer team works to implement this new system efficiently. Please allow for potential wait times during pickup sessions and communicate with us any concerns respectfully so we can address them promptly.

6/13/25 UPDATE: Terminal was installed today at the entrance. When that happened, for some reason it automatically sent out notifications to owners to setup the app on their phones via text or email. We were still working on cleaning the list for use with the system. Remember, your Board are volunteer homeowners as well, working countless hours for the community—try to be respectful and be patient with the process.
The corrected list will go live later today. We will post updates here. We will setup a method to inform us of changes needed to your directory listing.
IMPORTANT: IF YOU ARE A RENTER, YOU WILL NEED TO CONTACT THE OWNER TO GET YOU ACCESS. WE DO NOT HAVE YOUR INFORMATION AND WE NEED DIRECTION TO COME FROM THE OWNER. We will provide instructions shortly for what owners will need to do.
Regarding windshield tags: the database needed to be cleaned up for upload. Once this is done, we can work on the distribution of windshield tags. The app will allow you to open the gates regardless of having a windshield tag. THE GATES WILL NOT BE CLOSED UNTIL WE ARE FURTHER ALONG IN THE PROCESS. WE ARE NOT COMPLETE WITH THE PROJECT.
6/10/25 UPDATE: Lightning strikes again. When the neighborhood lost power this evening, it triggered the main entrance gates to close. One of the Board members was able to open one side of the main entrance gates, but the left side is stuck completely. The gate company has been contacted for a service call to open this side as well.
Again, because lighting also damaged the old gate system, the gates will remain open until the ButterflyMX installation is complete.
Owners—you will be receiving a text soon from ButterflyMX to setup your app for the new gate system. Please login and if there is anything that needs to be edited, you will need to let us know. We will give instructions for how to inform us about what needs updating.
Renters—you will need to contact your landlord to get you setup on the new system.
6/5/25 UPDATE, but posted late: The gate and camera system install is progressing. They started installing the exit bars at the Estates pedestrian gates, but the work is not complete.
Side note: A neighbor sent us video of some teenagers kicking the gates. Please talk to your children about respecting the neighborhood property.
6/2/25 UPDATE: The gate and camera installers are back out today working on the project. We are in the process of uploading the database of owner information to the new ButterflyMX system. Once we have the bulk of the data uploaded, owners will be receiving a communication about setting up the ButterflyMX app on your phones.
We will be scheduling the distribution of windshield tags shortly. These details will be made available as soon as everything set.
Renters will need to communicate with their landlords to setup access.
Again, the gates have been open because there was damage to the old system and it didn’t make sense to spend to repair a gate system that is being replaced. The gates will remain open until owners have the opportunity to set up the app and receive their windshield tags.
5/28/25 UPDATE: Unfortunately, the DoorKing gate access kiosk may have been damaged by a lighting strike. Since we are in the process of replacing the gates, it doesn’t seem prudent to spend to repair the machinery that will be replaced in the coming weeks. The gates will therefore remain open for a little longer.
5/20/25 UPDATE: Additional cameras were installed at the clubhouse area and the parking lot. The existing cameras will be ported over to the new system on their next visit. The next step will be the installation of the cameras and license plate readers at the gates, but we are waiting for the date for this.
5/18/25 UPDATE: The wiring for the gate and camera project was delayed and it is currently scheduled to start Tuesday, May 20, 2025. The vendor is waiting to receive some equipment.

We're pleased to announce that the installation of our new ButterflyMX access system will begin on May 12, 2025. This upgrade will enhance the experience for all community members.
New Access Options
The ButterflyMX system offers multiple ways to enter our community:
Windshield Tags: Each home will receive 2 complimentary tags. Additional tags will be available for purchase. These tags are vehicle-specific and cannot be transferred between cars.
Mobile App Access: Enter using the convenient ButterflyMX smartphone app.
Call Box: Traditional call box entry will remain available with video.
Amenity Access: You will no longer need an access card for the clubhouse amenities. You will have access using the app on your cell phone.
Detailed instructions for setting up your account and obtaining windshield tags will be provided during the implementation process.
What to Expect
Installation crews will be working at all gates and the clubhouse in the coming weeks
Additional security cameras will be installed
Pedestrian gate security will be improved
Detailed instructions for the new system will be provided via email and posted here once the onboarding process is finalized
Current Gate Issues
Many of you have noticed the main gates occasionally remaining open. This is due to connectivity issues with our system that require remote software resets. While the current vendor proposed an expensive solution, we determined it would be more fiscally responsible to proceed directly with the planned ButterflyMX that resolve should this particular problem.
Your Patience is Appreciated
As with any significant infrastructure improvement, we may experience brief disruptions during the transition.
